Duties & Responsibilities

  • Manage front desk responsibilities, greeting visitors, and directing inquiries with professionalism and warmth
  • Operate multi-line phone systems, handle incoming calls, and provide prompt customer support with excellent phone etiquette
  • Maintain accurate data entry, filing systems, and document proofreading to ensure information accuracy and organization
  • Utilize office management tools such as Microsoft Office, Google Workspace, and QuickBooks for record keeping, scheduling, and bookkeeping tasks
  • Coordinate calendar management, appointment scheduling, and event planning to optimize team productivity
  • Support clerical tasks including photocopying, faxing, mailing, and inventory management of office supplies
  • Provide exceptional customer service by assisting clients and team members efficiently and courteously

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Excellent typing speed and data entry accuracy for efficient record keeping
  • Bilingual abilities are highly valued to serve diverse client needs effectively
  • Experience with office management systems such as QuickBooks or similar bookkeeping software is preferred
  • Knowledge of front desk procedures, multi-line phone systems, and phone etiquette is essential
  • Demonstrated clerical experience combined with strong computer literacy and proofreading skills
  • Exceptional time management skills to prioritize tasks efficiently throughout the workday
  • Personal assistant or medical/dental receptionist experience is a plus
